Type Business: Non-Profit Organization

Requirement: Notification of membership of specific regional events. Announcement of funeral arrangement for members and their family. Meeting notice change announcements. Periodic messages reminding membership of deadlines, due dates, etc. Other information dissemination needs include announcement of fundraisers, business seminars and other special events during the course of the year being hosted for the benefit of the general public.


Solution: Technology Solutions and Services, Inc currently provides scripted messages each month to the various segments of the database membership population as announcements. These messages are specific to the occasion such as a funeral announcement, meeting notice or special event notice. . In this way the particular message is clearly communicated and is easily measured. The messages are sent out monthly to specific segments i.e. certain subgroups such as Board of Directors from their database. Typical monthly calling averages around 2,000 calls per month. In a high month they will do 4,000 calls.

Result: By the use of the Scripted Messaging™ service they are experiencing a lower cost and overhead reduction due to no equipment outlay, no more people required to supplement periodically their staff to make the callings, more consistent delivery of the messages and greater membership awareness of their programs.

Type of Business: Event Planner and Networking Organizations

Requirement: Currently has a need to notify potential vendors of a networking or marketing event in a specific geographic area. In addition, to identifying and notification of specific prior attendees of these events of an event being scheduled. Their vendor population is 2-300 vendors. This required the event organizer to make hundreds of calls the vendors from Monday to Saturday in the evenings to make sure sufficient vendors each day as well as identify new potential people to attend. Without adequate attendees or vendors a considerable lost of revenue would result since each vendor pays to participate and poor attendance results in poor sales to the vendors on display. The actual results were at best unpredictable because the calls needed were not being made consistently, and the delivered in a timely fashion to vendor and potential visitors alike. In some cases the caller would forget some information resulting in a miscommunication to some of the vendors.


Solution: Scripted Messages sent out to 500-2000 people in the weeks leading up to the event. A different message is delivered to both vendors and previous attendees on their answering machine/voicemail or live person resulting in a consist message to all groups. Now the messages are consistent to all vendors and previous attendees and the separate call report generated, identifies who got the message and who did not. Messages are delivered in hours as opposed to weeks. The messages left are without misinterpretation or miscommunication since the originator reviews the recorded message prior to their release.

Result: This has resulted in more vendors showing up and former attendees adding to the attendance levels at these events

 

Type of Business:Church


Requirement: The need to contact specific segments of the Church congregation with a consist message to each. Contact between the Pastor and the congregation is necessary to keep on a personal level to increase the Church membership. Other events notification included funeral, wedding and other special events planned at the Church. Currently, this customer was contacting its existing membership base of 8,000 members via mail and manual telephone tree. Unfortunately, this approach losses the personal communication between the Pastor and the membership often appearing more impersonal to the membership since the only time they heard from the Pastor was at Sunday service.


Solution: Scripted Messages sent to membership’ answering machine and voicemail, by Pastor announcing specific events and encouraging membership attendance. Each message was recorded in the Pastor’s voice (not computer synthesized) or the Head of the specific Church ministries as notification to the members. This approach providing his congregation with the same personal touch as if he the Pastor had called each of them personally. Since our Scripted Messaging™ service provides a full report of those numbers who did not receive a message. This permitted the Church administrator to qualify their telephone number database to keep current numbers on their membership.


Result: : By the use of Scripted Messaging this customer has taken the same dollars in their mailing budget and expanded the number of membership participation at their events this resulting in more timely notification of events to its membership while lowering overall administrative cost. Church bulletins printing cost were reduced by having fewer pages devoted to the events calendar and announcements..
